REMOTE ONLINE NOTARY:
What is the process?
1. Schedule an appointment online to get your documents notarized.
2. Upload unsigned copy of your document securely for review of notarial wording and act.
Make your non-refundable platform ID verification payment securely online when invoiced.
3. Successfully pass identity verification.
4. Connect to online notary over live video from any device at your scheduled appointment time.
5. Pay remaining invoice if applicable.
6. Executed, notarized document is emailed immediately after completion to email address provided.
Do I qualify for remote notarization?
If you can answer “Yes” to the following questions, then you qualify for remote notarization and can
complete the required ID verification:
- Are you 18 years of age or older?
- Do you have a social security number?
- Do you have a US driver’s license or a state ID?
- Do you have at least five (5) years of US credit history?
- Are you a US citizen? YOU MUST BE A US CITIZEN
- Do you have a US mobile phone number?
Are video sessions recorded?
Yes. Please be advised that audio-video conference will be recorded in compliance with Virginia law VOC § 47.1-2. The electronic record of an electronic notarial act must be maintained for a period of at least five years from the date the notarial act was performed.
What do I need to connect to an online notary?
Laptop, desktop or mobile device.
- Chrome, Firefox or Safari (version 11 or higher) browser.
- A camera and microphone on the device that is accessible by the browser.
- Permission for the browser to access the camera and microphone.
Each signer MUST have their own device and unique email address.
- US phone number with text message capabilities.
- High speed Internet access.
Do’s and Don’ts of Remote Notarization?
The Notary Public cannot provide legal advice or assistance with completing the document. Contact the drafter or requester of the document.
Do NOT sign the document until you are in the presence of the Notary.
Complete the document in its entirety before it is uploaded and fill in all necessary blanks on the document,
Certificate of United States citizenship but Do Not sign the document.
The Signer(s) of the document must be physically present via audio video and of sound mind.
Signer(s) must present acceptable unexpired identification.
Signer(s) must be able to communicate with the Notary directly and CAN NOT use a translator or be guided by a third party.
What kind of identification is needed to have my document notarized?
As per Virginia law, all signers must personally appear before the notary and present government issued photo identification. The name on the identification must match the name printed on the document. Acceptable identification documents are as follows:
State issued driver’s license
- State issued identification card
- United States military card
- United States passport
Certificate of United
States citizenship- Certificate of naturalization
- Alien registration card with photograph
- Unexpired foreign passport
A notary may refuse to notarize a signature if he or she is uncertain of an individual’s identity, or if the notary is uncomfortable with the validity of the identification documents.
Notary Session Form
- After booking your appointment, you’ll receive a confirmation email with the name and email of your notary.
- Reply to the confirmation with your unsigned document attached. If you have any additional signers or witnesses, also include names and emails as well.
- Prior to the meeting, you will need to verify your ID and electronically sign your documents.
- Once all signers have signed, the notary will place his/her electronic seal on the document(s)
All signers will receive the final notarized copy via email once it is complete.
How to prepare for your Notary appointment
(Must be 18 years or older)
Know the type of notarization needed.
- Ensure the document is completed in all required areas.
- Make sure you have valid and acceptable identification. (The name listed on your document must match the name on your identification).
- All signers listed on the document must be present, including witnesses, for the notarization. (Witnesses may not be family or have any beneficial interest in the the document).
- Be sure you understand the document(s) you are signing.
